What makes BuildrHub different from other CRMs?

Most trade software keeps quotes in one list, invoices in another, and leaves you to work out which job they belonged to. BuildrHub starts with the job instead. Every job holds its own contract value, quotes, variations, invoices, timesheets, expenses, photos, forms and schedule. Quote a job and the accepted price becomes the contract value. Add a variation and the contract value moves with it. Invoice against the job and BuildrHub draws it down, so the job always shows what has been billed, what is left to claim, what it has cost you, and what you are actually making on it. That is how tradies already think. Nobody keeps a list of invoice numbers in their head. They think about the Smith kitchen and the Watson deck. BuildrHub matches that, so instead of reconciling lists you just open the job and everything is there.

What trades does BuildrHub work with?

Accepted Answer

All of them. Builders, carpenters, electricians, plumbers, roofers, concreters, landscapers, painters, tilers, plasterers, air con, and everything alongside them. It also handles service and recurring work, so cleaners, maintenance crews, pest control and anyone running ongoing visits are covered too. A job can be a fixed-price contract or an ongoing service agreement that keeps billing month after month, and both live in the same workspace. Nothing is hard-wired to one trade. You set up your own services, price list and forms, so the workspace ends up shaped like your business rather than someone else's.

Do I need Nova AI to use BuildrHub?

Accepted Answer

No. Nova is additive. Every single thing in BuildrHub can be done by hand, and the Core plan has no Nova at all. What Nova does is take the long way round out of your day. Ask it to draft a quote from a few lines of description, build an invoice off a job, tell you what is still unpaid, or pull up the last three jobs you did for a client. It also answers questions about how the app works, so you are not hunting through settings. Nova presses the same buttons you would. Nothing happens behind your back, and you can read and edit anything it produces before it goes anywhere near a client. Start on Core if you want the tools without it, and move up when you want the shortcut.

What counts as a user?

Anyone with a login to your workspace, and that includes you. Core covers 1 user, Pro covers 3, and Premium covers 10. Pending invitations count as well. An invite you have sent but nobody has accepted still holds a place, so if someone never joins, cancel the invitation and the place comes straight back. Your clients never count. They can view a quote, accept and sign it online, and pay an invoice without ever creating a login, and none of that touches your user count.

What are the roles and what can each one do?

There are three, and everyone you invite gets one. Members only ever see their own time and expenses, and that is enforced on the server, not just hidden in the app. If you want someone quoting and invoicing, make them an Admin. Owner. Full access to everything, including the billing plan. The only role that can change the subscription or close the workspace. Admin. Your office manager or 2IC. Everything operational, so jobs, clients, quotes, variations, invoices, payroll, approving timesheets and expenses, and inviting people. They can see the plan but not change it. Member. Your people on the tools. They see the jobs they are assigned, the schedule and their tasks. They log their own time and expenses, upload site photos and fill in forms. They cannot see the money, send documents, or manage the team.

Can I import my existing quotes, invoices and variations?

Accepted Answer

No, and that one is deliberate. In BuildrHub a quote, variation or invoice is not a loose document. It belongs to a job and it moves that job's contract value and billing position. An imported invoice with no job behind it would just be a PDF sitting in a list, which is the exact thing BuildrHub is built to get rid of. Starting fresh is also easier than it sounds. Leave your finished work where it is, in the old system or your accounting file, because it is done and paid and nobody needs it moved. Bring across only the jobs still running, which for most trades is a handful. Set the contract value, enter what you have already claimed, and you are current. An afternoon at most. Clients and your price list are a different story. Those are worth bringing over properly, so send us an email and we will give you a hand loading them in.

Does BuildrHub integrate with Xero or MYOB?

Accepted Answer

Not yet. It is in development right now and it is the next big piece landing. Until it ships, your invoices and payments live in BuildrHub and you can export what your bookkeeper or accountant needs. The roadmap has the current state if you want to follow along.
